Job Summary:

We are seeking an experienced Event and Operations Manager to join our core team and take charge of the planning, coordination, and execution of our conferences and events. The ideal candidate will be proactive with a reputation for getting things done. The candidate will possess exceptional organizational skills, meticulous attention to detail, and a passion for delivering flawless event experiences. This role requires strong project management abilities, excellent communication skills, and the ability to thrive in a fast-paced, high-pressure, dynamic environment. The Event and Operations Manager will play a crucial role in ensuring the smooth execution of our events and maintaining the high-quality standards that our clients expect.


Responsibilities include but not limited to:


Event Planning, Management, and Execution:

  • Collaborate with internal teams and external stakeholders to define event objectives, requirements, and timelines
  • Support in developing and monitoring event budgets and expenditures tracking expenses, managing invoices, and reconciling event-related financial records
  • Coordinate all pre- and post-event logistics, including venue selection, contract negotiation, catering, audio-visual requirements, vendor management, transportation, and accommodations
  • Setup all event systems including registration and ticketing platform, speaker and sponsor portals, mobile app, project management, and templates
  • Coordinate and supervise on-site event setup, attendee check-ins, operations, and teardown, ensuring all elements are executed flawlessly
  • Evaluate event performance on an ongoing weekly basis and post-event to measure success and identify areas for improvement


Speaker and Sponsor Management:

  • Liaise with speakers, sponsors, and exhibitors to ensure their needs are met and expectations are exceeded
  • Act as primary contact for sponsors, exhibitors, and partners, coordinating benefits and deliverables are met on a timely basis
  • Act as primary contact for speakers, gathering necessary speaker information and coordinating planning calls and meetings


Attendee Support and Customer Service:

  • Oversee event registration processes, attendee management, reporting, and tracking
  • Respond to inquiries and provide timely and accurate information to attendees, sponsors, and other stakeholders
  • Keep event websites current with speaker, sponsor, and program information
  • Support wider team including marketing, sales, production, and publication
  • Other operational and general administrative duties as necessary


Qualifications and Skills:

  • Bachelor's degree in event management, hospitality, business, or a related field
  • Proven experience (3+ years) in event planning and operations, preferably in the conference or corporate event industry
  • Strong project management skills, including the ability to manage multiple projects simultaneously
  • Excellent organizational skills with meticulous attention to detail
  • Exceptional communication and interpersonal skills, both written and verbal
  • Ability to build and maintain relationships with stakeholders at all levels
  • Proficient in event management software and tools (e.g., Cvent or similar platforms)
  • High comfort level with technology and ability to learn new systems quickly
  • Knowledge of budgeting and financial management principles
  • Ability to work effectively under pressure and meet tight deadlines
  • Flexibility to work evenings, weekends, and travel as required for events
  • Experience in the legal, financial, or technology sectors is a plus
