DESCRIPTION

A Design and Build CEO, real estate investor, and developer is seeking an Executive Assistant to join her team. They specialize in providing design and remodeling services to homeowners in person or virtually, with plans to launch construction consulting sessions in the near future. The ideal candidate will play a crucial role in supporting the client during this launch phase, facilitating client progress and success. Additionally, the role involves maintaining a running list of potential real estate deals and assisting with financial analyses, ensuring well-prepared evaluations of development opportunities.

As an Executive Assistant, your responsibilities will encompass various tasks such as setting up clients in HoneyBook and Houzz Pro, overseeing client projects in Monday.com, managing the CEO's email inbox, and tracking the team's progress within each project. Given the client's demanding schedule, they are seeking someone who can bring creativity to the role of ensuring client success. This may involve handling sales/discovery calls during peak periods, alleviating potential clients' concerns and bottlenecks. Additionally, you may be required to address urgent inquiries from clients, ensuring the smooth progression of projects, coordinating with other contractors by effectively managing their workload and providing clear task instructions.

WHO YOU ARE

You are a highly independent and exceptionally organized Executive Assistant who excels at driving projects forward by being organized even when the client is tied up in calls throughout the day. Your exceptional ability to disseminate information and materials from clients allows you to step in seamlessly and identify any areas where the team may be falling short at each stage of a project. 

 

You are also adept at following instructions when necessary, demonstrating your flexibility and adaptability.

 

To excel in this role, your forward-thinking mindset enables you to anticipate and meet each client's needs proactively. You thrive in an environment that values autonomy and do not require constant micromanagement.

 

In one year, you will gauge your success in this role by observing consistent client satisfaction and timely completion of accounts within a three to six months timeframe, avoiding unnecessary delays. The CEO will have full visibility into each client's progress in the setup journey, enabling them to confidently engage in more sales calls, knowing that you provide the necessary support to ensure client needs are met in their absence. Clients can rest assured that they are receiving ongoing support from you, alleviating any concerns about prolonged periods without direct contact with the CEO. Furthermore, you will have played a key role in equipping the team with essential knowledge and keeping them informed. Projects will be diligently updated in the systems, and the CEO will have the freedom to conduct workshops without fear of interrupting business operations.

HOURS, COMPENSATION, & MORE

This role is 10-20 hours a week and compensation is $25/hr-$30/hr depending on experience.

Our client is open to international candidates but you must be willing to work and be available between 8am-6pm CST.
