Executive/Personal Assistant

Job Description

Cecilia’s House is seeking a highly organized and proactive Executive/Personal Assistant to support a dynamic individual to provide essential support to the company's owner in managing both business and personal tasks.

The ideal candidate will possess exceptional organization, attention to detail, time management, and problem-solving skills. This Executive/Personal Assistant role requires versatility, discretion, and the ability to navigate both professional and personal responsibilities seamlessly.

Administrative Tasks:

  1. Calendar Management: Efficiently manage the owner's meetings and appointments.
  2. Document Management: Organize and maintain business documents, contracts, and important files.
  3. Travel Planning: Make travel arrangements, including booking flights and accommodations.
  4. Research: Conduct market research, competitive analysis, and other ad-hoc research tasks as needed.
  5. Communication: Handle business-related phone calls and correspondence as needed.
  6. Task Delegation: Assist in delegating tasks to appropriate team members and ensuring timely completion.
  7. Miscellaneous Administrative Tasks: Perform various administrative duties to support the smooth operation of the business.

Shopify and Etsy Store Management:

  1. Product Listings: Create and manage product listings on our Shopify and Etsy store
  2. Marketing Support: Assist with scheduling social media posts as needed.
  3. Vendor Support: Draft briefs for graphic designers and orders for influencers and content creators as needed.

Personal Tasks

  1. Personal Appointments: Schedule and manage personal appointments and commitments.
  2. Errands: Make personal purchases as required (including but not limited to placing grocery delivery orders and scheduling cleaners)
  3. Event Planning: Assist in planning and coordinating personal events and gatherings.


  1. Proven experience as a personal assistant or in a similar role.
  2. Excellent organization and time management skills.
  3. Strong communication and interpersonal abilities.
  4. Proficiency in using office software and scheduling tools.
  5. Knowledge of e-commerce platforms and Etsy/Shopify store management is a plus.
  6. Discretion and the ability to maintain confidentiality.
  7. Strong problem-solving skills and a proactive approach.
  8. Reliable and adaptable, with a "can-do" attitude.
  9. Bachelor's degree or relevant certification is preferred.

$ 15-25/hr
