Job Summary:

We are seeking a highly organized and proactive Virtual Assistant to join our dynamic team. This role is ideal for someone who has experience supporting business leaders in administrative, operational, and project management functions. The Virtual Assistant will work closely with clients to manage day-to-day operations, improve efficiency, and ensure all administrative tasks are handled seamlessly. The ideal candidate is a self-starter who thrives in a remote work environment, enjoys helping others succeed, and aligns with our core values of excellence, rest, and mindful productivity.


Compensation:

$22-$24/hr


IMPORTANT:

As we only work with the best virtual assistants, expect a 4-part interview process.


This is a remote, part-time, 1099 contracted position.


We will only consider US-based contractors and are not accepting applicants living in California, New Jersey, and New York. Applications from outside the US or from California, New Jersey, and New York will be immediately rejected. 



Key Responsibilities:

  • Administrative Support: Manage client calendars, coordinate meetings, handle email correspondence, and perform data entry tasks.
  • Project Management: Organize and oversee client projects, ensuring deadlines are met and all moving parts are accounted for.
  • Client Communication: Serve as the main point of contact for clients, providing timely updates, answering inquiries, and managing expectations.
  • Operational Assistance: Assist with process improvement initiatives, develop systems to improve productivity, and provide recommendations for optimizing operations.
  • Task Prioritization: Help clients identify key priorities and delegate tasks accordingly to maximize their productivity and well-being.
  • Document Preparation: Create, edit, and format reports, presentations, and other professional documents for clients.
  • Time Management: Support clients in time-blocking and ensuring their schedules align with both their goals and personal rhythms.


Required Skills and Competencies:

  • Strong Organizational Skills: Ability to manage multiple tasks and projects simultaneously while maintaining high attention to detail.
  • Excellent Communication: Clear, professional, and warm communication style, both written and verbal, with a focus on personal and intentional interactions.
  • Tech-Savvy: Proficiency in tools such as Google Workspace, Microsoft Office, Slack, Asana, and other project management and collaboration platforms.
  • Problem Solving: Ability to think on your feet, anticipate client needs, and offer effective solutions for administrative and operational challenges.
  • Adaptability: Ability to adjust to varying client needs and work with flexibility in a remote environment.
  • Time Management: Proven ability to prioritize tasks efficiently for both yourself and clients.


Key Qualifications:

  • At least 3-5 years of experience as a virtual assistant, executive assistant, project manager, or in an administrative or operations role, preferably working with business leaders or entrepreneurs.
  • Strong knowledge of commonly used administrative systems and tools, with a focus on efficiency and effectiveness.
  • Proven experience managing multiple clients or projects simultaneously in a fast-paced remote setting.
  • Experience working with C-suite executives, business owners, or ambitious professionals, particularly those in fast-growing industries or those who are neuro-divergent.
  • Familiarity with commonly used productivity tools, task management systems, and scheduling software.
  • Alignment with Open Tabs’ values of balance, rest, and rejuvenation.


Work Environment

  • This is a part-time 1099 contracted position. 
  • You will work remotely with flexibility, but candidates must be available Monday through Friday during core business hours (9 AM to 5 PM). This role is NOT suited for those only available during evenings or for those who may have many other daytime responsibilities.


Virtual Assistants must have a:

  • Professional in-home office setup, free from noise or distractions
  • Mac or PC computer equipped with webcam
  • Reliable iPhone or Android cell phone
  • Fast and reliable internet connection
